Portal: Contract start date corrections

Amending the commencement date of an employee's appointment.

Depending upon the scenario, you're able to amend the start date of an employee's contract. To do this, watch the video or follow the steps below.

  1. Click Command Centre then, next to Employees, click VIEW.

  2. Search the employee, then click VIEW.

  3. Click Contracts then, under Summary, click the three-dot menu.

  4. Click Amend Contract Start Date, then enter a new start date.

  5. Click OK, then, for any additional items listed, click REVIEW.

  6. Once the reviews are completed, click SAVE.

📌Note: If the new start date is earlier, check the underlying post as it may require an earlier effective date. Failure to do so may result in a 'This start date cannot be amended as the persons current post is only effective from DD-MMM-YY' message.


Contracts you can update

You can update the start date in the following scenarios.

  • New Hire - When you change the start date for a contract set up for a new hire, the Contract Start Date and Date First Joined are updated.

  • Rehire - When you change the start date for a contract set up for a rehire, the Contract Start Date and Latest Start Date are updated.

  • Additional Contract - Changes to additional contracts do not update the Date First Joined or the Rehire Date fields.


Contracts you cannot update

You cannot update the start date for the following types of contracts using the Amend Contract Start Date functionality.

  • Replacement contracts.

  • Contracts that have already been processed through payroll.


Other updates made when the start date is changed

When the contract start date is changed, the following elements of the employee’s contract are reviewed and may be updated.

  • Salary.

  • Allowance.

  • Cost allocations.

  • Pension.

  • BIK.

  • Deductions.

  • Substantive date.

  • Organisational roles.

Each of these elements is reviewed and flagged to the user as either requiring or not requiring an update. The system also clearly indicates which details will be updated.
