Portal: Upload a public document for all employees to view

Upload a public document, such as company policy details, so all employees can view it.

You can enable and use the document type ESSG to upload public documents. By default, this is typically named General Documents or similar. To complete this process, follow the steps below.

Important considerations

  • Test in UAT first to ensure it works as expected.

  • Only use this for content that can be seen by all employees, and that it's free of sensitive information.

  • After uploading, we recommend disabling the ability to add or upload a general document to ensure that sensitive documents are not uploaded accidentally.


Enable ESSG document type

Ensure the document type is viewable by ESS and MSS users, and available for upload via MSS.

  1. From the dashboard menu, search for and select Data Centre.

  2. Next to Reference Data, click OPEN, then click Document Type.

  3. For document type ESSG, click the three-dot menu, then click Options.

  4. Set ESS to enable view only (set the first slider on and the second slider off).

  5. Set MSS to enable view and add (set both sliders on).

  6. Click OK, then click OK.


Upload document

An MSS user with document upload access carries out this task. The process differs depending on whether you use a standalone PeopleXD system or access it via Access Evo.

Standalone PeopleXD

  1. Click your User Profile, then click My Profile.

    πŸ€“Tip: The user profile is the circle icon in the top right corner of the screen. It usually contains your photo or initials.

  2. Click EMPLOYEE DETAIL, then click Documents.

  3. Click UPLOAD, then complete the Upload Document template.

  4. Ensure you select the correct Document Type, then click OK.

PeopleXD within Access Evo

  1. In the top left of the screen, click either your name or the My Profile icon.

    πŸ€“Tip: My Profile is located in the circle that contains your photo or initials.

  2. Click EMPLOYEE DETAIL, then click Documents.

  3. Click UPLOAD, then complete the Upload Document template.

  4. Ensure you select the correct Document Type, then click OK.
