Portal: Grant HR access to a user

Grant a user access to view employees and HR data in People Management.

Access to employee data in People Management is determined by a user's HR access. You can choose any of the below methods to configure the access their role requires.

HR User Access (Basic)

If you have access to the Data Centre widget, you can use the HR User Access (Basic) screen to assign and manage user access.

  1. On the People Management dashboard click the Data Centre tab.

  2. On the Data Centre widget click VIEW ALL.

  3. Search for and click HR User Access (Basic).

  4. Search for the user and expand their three-dot menu then click HR Admin.

  5. Select a Structure Code, then select a Structure Level.

  6. Turn on the Active toggle to grant access to a field, or click ENABLE ALL.


Employee record

If you have access to the employee's record you can use the Assign Access screen to grant them HR access and the relevant menu profile access.

  1. On the People Management Dashboard click the Command Centre tab.

  2. Next to Employees click View.

  3. Search for the employee and click View.

  4. Expand the Actions menu and click Assign Access.

  5. Click the HR User Access tab.

  6. Select a Structure and Structure Level.

  7. Select an item and click the Arrow to move to the Assigned column.


System Users

If you have access to the Security dashboard, you can assign Personnel Access to a user via the System Users screen.

  1. On the Security dashboard click the Set Up tab.

  2. Next to System Users click OPEN.

  3. Select Portal then search for and select the employee from the Username list.

  4. Select Personnel Access from the Security Type list.

  5. Select a Structure Code and Access Level.

  6. Turn on the Access Granted toggle for each item and click OK to confirm.
