You can use bulk update templates to update employee records at scale. There are default templates, or you can create custom templates to update various contract elements across multiple employee records.
πNote: Coordinate with your Payroll team before processing bulk updates, as changes automatically flow through to PeopleXD Payroll.
To update employee records in bulk, watch the video or follow the steps below.
Download and populate a template
You can use the two default templates to end allowances and update salaries across multiple employee records.
You can also create custom templates to update contract elements in bulk. This can include updating areas such as creating broadcast contract announcements within an employee's record.
πNote: You can only update commenced or confirmed future contracts. Updates can't be made to fields specified on the Organisation Structure.
Create a custom contract template
From the dashboard menu, search for and select Bulk Update Templates.
Click Actions then select Create Contract Template.
Search for the required fields and select the checkboxes.
Click the right arrow icon to move the fields to the Selected column.
Click Save, enter a name then click OK.
Download and populate a template
From the dashboard menu, search for and select Bulk Update Templates.
Search for the relevant template then click the three-dot menu.
For guidance on populating the template, click Download Helper.
Click Download Template, then open the file and populate the fields.
πNote: The file type must be CSV with pipe-delimited records, and you can't update fields to a null value.
Upload and process records
After downloading and populating your template, you need to upload it. You can then use the Processing screen to fix any errors, configure settings, and apply updates to your employees' records.
Upload a template
From the dashboard menu, search for and select Employee Bulk Updates.
Click LOAD FILE then select the file from your device.
Click OK, then review the information on the processing editor screen.
Change file visibility
Templates you upload are marked as private by default, so only you can access them. You can make a file public to allow other users with widget access to view it.
From the dashboard menu, search for and select Employee Bulk Updates.
Search for the relevant file then click the three-dot menu.
Click Set Public, then click Yes.
Correct errors
Records with errors display the status failed on the processing editor screen. You can make updates to the records to correct highlighted issues.
From the dashboard menu, search for and select Employee Bulk Updates.
Next to the relevant file, click the three-dot menu then click Edit.
Click the relevant record, then click Display Errors.
Review the error description then update the relevant field.
If prompted, click Yes to update other identical errors.
π€Tip: Where a correction has been made and cascaded to all records, you can reset all record statuses with errors using the Actions menu.
Process records
Depending on the file type, you can apply additional settings before processing the updates.
Bypass salary approvals: When you upload a salary amendment file, turn on the toggle to bypass the salary approval process.
Apply these changes to future dated amendments: When you upload an end allowance file, turn on the toggle to cascade field updates to existing future-dated amendments.
To apply additional settings and process records, follow the steps below.
From the dashboard menu, search for and select Employee Bulk Updates.
Next to the relevant file, click the three-dot menu then click Edit.
Click Actions then click Settings.
Turn on the toggles as required, then click OK.
Select a record then click Process Record or click Process All Records.
User access
To access the bulk update functionality, you need to add the widgets to a PeopleXD dashboard and grant users the correct menu option access.
Add widgets to a dashboard
From the dashboard menu, search for and select Site Manager.
Next to Dashboard Configuration, click Open.
From the drop-down menu, select the relevant dashboard.
From the Dashboard Tabs section, select the relevant tab.
From the Tab Widgets section, search for and turn on Bulk Update Templates and Employee Bulk Updates.
