Bulk adding/removing menu profiles to employees

How to add or remove multiple menu profiles to a group of employees at once/in bulk.

You can add or remove menu profiles to employees in bulk via the Bulk Assign Access feature.

Firstly, the system needs to know what employee records to update. This is identified using an Insight report. The report runs from the Bulk Assign Access screen and returns the required employees on screen, ready to be updated.

Follow these steps to update access for a group of employees in bulk:

  1. Create an Insight report to retrieve the list of employees to be updated

  • the Person Reference column from the Hr Person Master (Personnel) view needs to be included in the report

  • any other columns that you add to the report are not displayed in the Bulk Assign Access screen but may be useful to you to add to the report to ensure that the correct set of data is being retrieved e.g. name, department, etc.

  1. Go to Data Centre, click View All, and open the Bulk Assign Access option

  2. Once the Select Report pop-up appears, select your report from the Insight Reports drop-down list and click Apply

  3. The screen updates to display the employees in the report

Note: The screen does not display the full report data. The columns displayed on the screen are fixed. The Insight report is only used to confirm what employee records display.

  1. Toggle on/off the Selected switch for the employees that you want to include in the bulk update

  2. Click the Assign Access button - the Assign Access screen opens

  3. Select the Date Effective that access is to be granted from

  4. Select the Menu Profiles tab from the list available on the left-hand side of the screen - once selected, the screen updates to display the list of menu profiles

  5. Click ADD or REMOVE next to the menu profiles that you want to assign or unassign to employees selected on the previous screen
