Before a user can approve salaries, they will need to have the required personnel or pay group accesses and the relevant organisation roles assigned to them. Follow the steps below.
πNote: A user can be an approver in the portal or the back office. This is controlled by an entry in the user's contact details as described below.
Personnel access
From the dashboard menu, click Security, then click Set Up.
Under System Set Up, scroll to System Users, then click OPEN.
Click Portal or Back Office, then search for and select the employee in Username.
π€ Tip: The employee can be located by entering their name or personnel number.
Under Security Type, select Personnel Access, then select a Structure Code.
Select an Access Level, then click Show Access.
Enable Access Granted for individual items, or click Select All.
Click OK.
Pay group access
From the dashboard menu, click Security, then click Set Up.
Under System Set Up, next to CorePay Pay Users, click OPEN.
Close the Filter window, then click Portal Account or Back Office Account.
Click the Filter icon, select the employee in Username, then click Filter.
π€ Tip: You can locate the employee by entering their name or personnel number.
Click Add, then enter Pay Group, Username, and Description.
Click Save, then click OK.
Assign organisational roles
From the dashboard menu, in the search bar, enter and select Data Centre.
Click VIEW ALL, then click Maintain Organisation Roles by Person.
Search for and select the employee in Personnel No.
π€ Tip: You can enter either their name or personnel number to locate them.
Select Structure, then click Add.
Select Role, for example, HR Salary Approver, then enter the new role details.
Click Save, then click OK.
Salary user contact details
π Note: Complete this step if the user is to process approvals in the back office, it's not required for portal approvers.
Under Command Centre, next to Employees, click VIEW.
Search for the user's employee record, then click VIEW.
Click ACTIONS, then select Personnel Profile.
Under Contact Details, scroll to Salary User, then click the three-dot menu.
Click Edit, enter a Salary User, then click OK.
π€ Tip: The value entered will be the user's back office username.
