There are two ways to trigger an Event Notification on the date a new starter is entered, rather than on their start date. Choose the method that suits your setup.

Method 1: Use the Post Person event type

Create an Event Notification using the Post Person event type.

  1. In Portal, go to People Management, then Data Centre, then click View All.

  2. Using the search bar, find HR Event Configuration and select it.

  3. Choose Post Person from the Event Category dropdown list.

  4. Find Start Date, click the three-dot ellipsis, then click Edit.

  5. Make your configuration change here.

For more detail, see here.

Method 2: Use a Days Before lead time

Set the Days lead time to a higher number, such as 300. Any starter you create up to 300 days before their start date generates the notification on the date they are entered.

⚠️Important: You must also update Ignore Event Days. This setting ignores the event if the trigger date falls 60 days (default) or more after today.

  1. In Portal, go to People Management, then Data Centre, then click View All.

  2. Using the search bar, find HR Event Configuration and select it.

  3. Select HR Events from the Event Category dropdown list.

  4. Once you find New Starter Notification, click the three-dot ellipsis, then click Edit.

  5. Set Ignore Event Days to 300 (or your chosen number).

  6. Within the individual notification, set Generate Notification to 300 (or your chosen number).

  7. Set Days to Before.

📌Note: If the lead time is set to 0 days, the notification is sent on the start date if the record is entered on that date. If the record is entered after the start date, the notification is sent immediately on input.

Fixed-term contracts: Target End Date

To set up notifications for a fixed-term contract's Target End Date, use the event type designed for that date. You can find it under the Post Appointment Events category.

This event type aligns with the Target End Date field, which is used for date entry. Set up notifications for this event so advance alerts are sent when a fixed-term contract is nearing its end, such as three months before the Target End Date.

📌Note: Avoid relying on the Contract End Date event for this purpose, as it may not trigger notifications as expected.

Best practice

  • Choose the right event type: make sure it matches the specific HR event you want to monitor.

  • Set appropriate lead times: consider the timing of notifications so they are actionable.

  • Test configurations: before rolling out notifications, test the setup to confirm they trigger as expected.
