You can amend an employee's job title if it has changed or was set up incorrectly. Depending on your scenario, you can update the employee's contract, replace the contract, or switch the post.

⚠️Important: To change the job title for all employees assigned to a specific post, make the change in the Data Centre rather than editing individual contracts.

Amend the job title in the Portal

To amend the job title for an employee in the Portal, update their contract by following these steps. Some scenarios need a replacement instead, which is covered in the methods below.

⚠️Important: To avoid creating a new contract amendment, enter an effective date that's the same as the current sequence date.

  1. Go to People Management.

  2. Query the employee, then click View.

  3. Click Contracts.

  4. Select the latest sequence from the contract amendment, then click View.

  5. Click Update from the right side.

  6. Click Contract Information, then under Job Title, select a new job title.

  7. Click Save.

Method 1: Replace the contract

This method is recommended for most scenarios, especially when payroll processing restrictions apply.

⚠️Important: If the contract has already been processed by payroll, you cannot delete it. Use the Replace Contract method instead.

  1. Open the employee's record in People Management.

  2. Start a Replace Contract action.

  3. If it's the only one available, select the current contract to replace.

  4. Choose the new post. This will automatically populate fields, including the job title if it is tied to the post.

  5. Enter the effective date for the change.

  6. Complete all mandatory fields, add the new salary details, and click Save.

This process creates a new contract effective from the chosen date and updates the job title when it is driven by the post.

Method 2: Delete the contract and switch the post

This alternative method is useful in specific scenarios, such as when the employee has multiple contracts.

  1. Open the employee's record, then go to the Summary section.

  2. Click the three dots, then select Delete Contract.

  3. If the employee has only one contract, a Switch Post pop-up will appear. Confirm the switch and select the new post.

  4. If the employee has multiple contracts, delete and recreate the correct one with the desired post.
