Terms and conditions include key contract details, such as the employee's probation period, allowances, and annual leave entitlements. The system can define these terms and associate them with employees to clearly outline important contract information. Follow the steps below.
Portal
Go to Data Centre and click View all.
Search for Terms and Conditions Setup.
Click ADD to add a new profile.
Select the three-dot ellipsis next to an existing profile and click Edit to make changes.
Once completed, navigate back to the Data Centre - View all screen and search for Post Profile Maintenance.
Find the post you wish to edit and click on VIEW.
Select the Terms And Conditions tab on the left-hand side.
Search for the required T&C and click on SELECT.
Back Office
Click CorePersonnel, Maintenance, Post Management, Terms And Conditions Profiles.
Select Add New Template.
In the Template fields, enter a code and description to describe the T&Cs. This code can contain 6 alphanumeric characters. The description can contain 63 alphanumeric characters.
From the Reference Type 1 List of Values, select a Reference Type.
Choose the relevant Category type.
If further detail is required, fill out Reference Type 2 etc. accordingly.
πNote: If a terms and conditions profile is set up with Category: Apprentice; Department: Marketing, this T&C's profile will be available for selection on any Apprentice posts set up in the Marketing department. Other T&C's profiles whose conditions comply with this post will also be available for selection so that the administrator can choose to select the most relevant T&Cs profile.
If you wish to make the T&C's profile available for selection on a post, at the top, ensure the Active flag is selected.
Define general T&C's rules.
Select Probation period and type (Days, Months, Years).
Select an employee notice period and type.
Select an employer notice period and type. If 'Length of Service' is chosen - employer notice period does not have to be populated. In this case, the employer notice period will be generated in accordance to the employee's length of service.
Populate Increment Due Months. This determines after how many months an employee's salary will be incremented. The salary increment process will happen automatically unless this flag is selected. If the Increment Hold Ind. is selected, approval will be required in order for the increment to process.
On the Payroll Rules tab, type in the free text field details to provide a CorePersonnel user with a description of the Salary Details associated with this particular T&C's profile.
πNote: The Absence Category is a legacy parameter and is now defunct. This can instead be attached via the Employee Sundry Profile on CorePay.
Assign Permanent Allowances (both positive and negative). Allowances defined here will act as a master list. Prior to commencing an appointment, the option will exist to refine this list for a particular appointment i.e. for a particular employee assigned to their T&C's profile might not be valid and can be deactivated.
Associate a balance the profile. Only Valid for customers who have CoreTime module and have set-up balances to track the number of absence days.
Click Save.
