Why do I still see a 12-field limit on some screens? | The Data Labels screen and the User Defined Field Codes screen are older configuration screens and are not part of this update. Use the User Defined Forms screen to use the increased field count. |
Will my existing form configuration be affected? | No. Your existing field configuration carries across automatically and remains available on the new screen. |
Can I still use the old screens after this update? | Yes, but these screens are limited to 12 fields and Access is no longer developing them. We recommend that you manage your forms through the User Defined Forms screen. |
Do I need administrator permissions to configure User Defined Forms? | Yes. You need administrator permissions to add fields, organise sections, and change form settings. |
Are Recruitment forms configured differently to Employee or Appointment forms? | No. Eligibility and configuration work the same way. A form becomes eligible for the new field count and layout based on its advanced settings, whether it is marked as Employee, Post Appointments, or Recruitment. |
Will employees and managers see the new fields straight away? | Yes, once you update the form. What users can see and edit still depends on their employee self-service (ESS) or manager self-service (MSS) permissions, as before. |
Does this affect the User Defined Forms Data Migration template? | Yes. The User Defined Forms Data Migration template now supports the additional fields. |
What happens to User Defined Forms that aren't marked as Employees, Post Appointments, or Recruitment? | These forms are not affected by this change and retain their current field count and layout. |
Can I report on the additional User Defined Forms fields? | Yes. The Person User Data, Employee Requests and Manager Requests views in Insight support up to 40 UDF fields. |
