PeopleXD SMTP server migration

Overview for customers of the migration of the SMTP server used to send emails from PeopleXD.

Access is migrating the SMTP server that processes emails sent from PeopleXD. The legacy SMTP server, hosted in a Magnet Plus (formerly BT) data centre, will be replaced with a new SMTP server hosted in a UK-based Access Group data centre.

For customers who do not use their own sending domain, the default sending address for PeopleXD emails will change to [email protected]. This sending domain has DomainKeys Identified Mail (DKIM) authentication configured to improve email delivery reliability.

Why is this change being made?

The current SMTP server does not support DKIM. Without DKIM, emails can be incorrectly marked as spam or junk—particularly by providers such as Gmail and Hotmail.

The new Access Group hosted SMTP server supports DKIM, which:

  • Improves email trust and delivery rates.

  • Reduces the risk of PeopleXD emails being filtered as spam.


What do I need to do?

If you need to make changes related to DKIM or a custom sending domain, Access will contact you before applying any changes.

Most customers do not need to take any action.


Sending address and configuration

  • Customers using the default PeopleXD configuration will use [email protected].

  • Customers using a custom “from” address can continue to do so.

  • The sending address is configurable within the application.

  • If a custom address is used, DKIM and/or Sender Policy Framework (SPF) changes may be required.


Timeline

  • A subset of customers has already been migrated.

  • Migration will be complete for all notified customers by Tuesday 30 June 2026.


Impact

  • Improved reliability of PeopleXD email delivery.

  • Reduced likelihood of emails being flagged as spam.

  • No downtime and no service interruption during the change.


Data considerations

Following the migration:

  • The Access Group data centre will store 30 days of SMTP server logs.

  • The only potentially sensitive data in these logs is the “from” email address.

    📌Note: For most customers, this will be [email protected].

  • The “from” address remains configurable within PeopleXD.


Summary

This migration modernises PeopleXD’s email infrastructure, improves deliverability, and enhances reliability. Most customers are unaffected and do not need to take any action.
