Insight: Organisational roles audit

Produce an audit report to identify when changes to organisational roles, such as work group, were made, and who made them.

The system does not create values for a specific employee in the audit table against entries that were done in the HR_ORGANISATIONAL_PERSON table which stores the organisational roles data, thus it cannot be precisely established which user actioned the change/update to the org role of an employee.

However, you can create an Insight report that returns related information, i.e. who updated and ended an org role recently with a particular end date.

  1. From the dashboard menu, search and select Insight.

  2. Click on Actions, and select Create Report.

  3. Enter a name for your report, then click OK.

  4. Click ADD, then select Column.

  5. Select the Audit Details (Personnel) view, and add the following columns.

    • Audit Type.

    • Table Name.

    • Date And Time.

    • Date And Time 24hour Format.

    • Field Name.

    • Old Value.

    • New Value.

    • Username.

  6. Select Filters from the dropdown, click ADD, and create the following filters.

    • Table Name Equal to HR_ORGANISATIONAL_PERSON.

    • Field Name Equal to DATE_TO.

    • New Value Contains "the end date in question" in the format DD-MMM-YY.

  7. Select Sorts from the dropdown, then click ADD.

  8. Select the Date And Time column Descending.

Once you run the report the Username column will show who entered the end date in question recently, the Date And Time column will show when this took place, and the Date And Time 24hour Format column will show the exact time.

πŸ“ŒNote: There might be a case that more than one user has entered the end date in question for an org role recently. This would need to be further verified internally as the report will not show for whom exactly the end date has been entered, nor for which org role.
