The approval and notification process for employee and manager requests consists of two elements. These are a workflow process for the request and an EMS alert to trigger the workflow. To complete these, follow the steps below.
Workflow process
One or more workflow processes should be configured to ensure requests are routed to the appropriate recipients or approvers.
In the dashboard menu, search for and select Data Centre.
Next to HR Admin Setup Settings, click OPEN.
Click Hr Process Configuration.
Click Search to view existing tasks, then click New Process.
Fill in the Add New Process template, then click SAVE once complete.
πNote: Select Employee Requests or Manager Request Events as the process category.
Configure the required workflow steps, then click SAVE when prompted.
EMS trigger
Create EMS alerts to trigger the workflow process for requests.
πNote: The following settings are important when creating the alert to ensure the workflows operate correctly.
An event type of Submitted ensures the event triggers when the request is submitted.
Specify a notification type of Process to trigger the workflow process.
The Conditions tab on the EMS alert defines which process to trigger. E.g., if REQUEST_TYPE is Cycle to Work Scheme, then trigger that workflow.
Configure multiple processes and corresponding EMS triggers to cater for each request type.
To create the alerts, follow the steps below.
In the dashboard menu, search for and select Data Centre.
Click OPEN against HR Admin Setup Settings, then click Hr Event Configuration.
In Event Category, select Employee Requests or Manager Request Events.
For the submitted event type, click the three-dot ellipsis, then click Edit.
πNote: Event type name will be Manager Request Status (Submitted) or Submitted.
Click Add New Notification to create a new alert.
Complete the required event configuration, then click Save when prompted.
