Portal: Manage an employee's substantive record

How to manage, amend or cancel an employee's substantive record.

An employee's substantive post can be easily maintained in PeopleXD, follow the steps below.

Find an employee's substantive record

  1. From the dashboard menu, enter Data Centre in the search bar and select it.

  2. Click OPEN next to People Management, then click Substantive Maintenance.

  3. Locate the employee in Personnel No using their name or personnel number.

You're then able to carry out the following activities.

  • Amend the substantive date.

  • Change the appointment ID.

  • Add a new substantive post.

  • Cancel a substantive appointment.


Amend the substantive date

You can amend the date at which a substantive post applies to an employee.

  1. Select the substantive entry to be updated.

  2. Under Substantive Date, click on the existing value, then enter a new date.

    🤓Tip: Click the calendar icon to search for the date, or enter it manually.

  3. Click Save, then click OK.


Change the appointment ID

You can replace the appointment id specified at a specific date if it's changed or has been entered in error.

  1. Select the substantive entry to be updated.

  2. Click the three-dot menu, then click Choose Appointment.

  3. On the list, click on the new appointment, then click Select Appointment ID.

  4. Click Save, then click OK.


Add a new substantive post

You are able to make changes to an employee’s substantive appointment from the individual's latest start date onwards.

  1. Click Add, then, in the new row, enter a Substantive Date.

  2. On the list, click on the new appointment, then click Select Appointment ID.

  3. Click Save, click Yes, then click OK.


Cancel a substantive appointment

If an appointment has been defined incorrectly as the substantive post, you can cancel the substantive entry.

  1. Select the substantive entry to be cancelled.

  2. Click on the three-dot menu, then click Details.

  3. Click Cancel, then click Yes, then click OK.
