Insight: Employees missing from a report with diversity or UDF fields

Reports that include diversity details (e.g. ethnic origin) or user-defined data (UDFs) fail to display all employees or applicants.

Insight reports that source data from multiple views include only employees who have data present in both views, as demonstrated below.

  • If a person has no diversity entries in their record, they will not appear in a report built from a personnel view (e.g. HR Person Master) and the Person Diversity (Personnel) view, because they do not exist in the diversity table.

  • If an employee has no user defined fields in their record, they will not appear in a report built from a personnel view (e.g. HR Person Master) and the Person User Data (Personnel) view, because they do not exist in the UDF table.

To return all employees or applicants in such a report, regardless of whether their records include diversity or UDF data, an outer join must be enabled. If this scenario occurs, contact your support team or Customer Success Manager (CSM) to determine whether an outer join can be added to the report. This will allow the report to include employees with data is present in only one view.

⚠️Warning: If a report includes columns from a transactional (large) table or view (e.g. Appointment History, Salary History), it may negatively affect system performance. In such cases, Access might not enable the outer join.
